Help Wanted! Open PTSA Positions for the 2026-2027 School Year
We’re excited to build our team for the upcoming school year! The Stillwater PTSA has 3 Board Positions and 3 Leadership Team Positions available. Board members attend monthly board meetings and serve as part of the governing body for the Stillwater PTSA organization. Leadership Team members own their specific area of responsibility and liaise with a board member to provide updates and receive direction from the board.

Board Positions
Membership
The Membership Board Member coordinates our year-round membership drive, maintaining a presence at all school events and actively seeking out the Stillwater community for new memberships. This role manages all membership forms, dues, and tracking, maintains the official PTSA membership list, and verifies state invoices for payment. The Membership lead also coordinates the Kindergarten Play Date before the school year begins, oversees hospitality at General Meetings, and maintains a “Welcome Packet” for new families in the front office. This position attends all Board and General Meetings and provides monthly newsletter updates on membership counts and news.
Fundraising
The Fundraising Board Member coordinates all PTSA fundraising activities, from major events to ongoing programs. This role works with the Treasurer and President to set fundraising goals based on budgetary needs, provides daily status reports to administration and the executive board during active fundraisers, and ensures proper record-keeping in accordance with IRS laws. The Fundraising lead also provides receipts to donating businesses and communicates year-round “smaller” fundraising opportunities to the Stillwater community. This position attends all Board and General Meetings and provides monthly newsletter updates on fundraising progress.
Communications
The Communications Board Member is the voice of the PTSA, responsible for publishing a monthly newsletter, maintaining and updating the PTSA website (with support from the President and Vice President), and sending regular emails to membership with PTSA updates. This role serves as the admin for the Stillwater Elementary PTSA Facebook page, oversees social media posts on behalf of the board (with support from the President), and works with the President on the weekly update that goes to the school secretary for inclusion in the school’s eNewsletter. The Communications lead also seeks ways to communicate PTSA information to non-English speaking families. This position attends all Board and General Meetings.
Leadership Team Positions
Social Lead
The Social Lead oversees all PTSA social events throughout the school year, from the Back-to-School BBQ to family fun nights and everything in between. This role identifies and supports activity leads for each event, ensures volunteers have proper training (including food handler permits), reviews event logistics with the President, and provides gymnasium/room diagrams to school administration at least one week before each event. The Social Lead ensures any September events are planned prior to school getting out the prior year, gets volunteer needs to the Volunteer Lead at least 6 weeks prior to each event, and provides monthly newsletter updates on upcoming events and post-event recaps. This position attends all General Meetings and liaises with a board member for updates.
Cashier Lead
The Cashier Lead works directly with the Treasurer to manage all cash-handling operations at PTSA events. This role collects Petty Cash & Cashier Request Forms from event leads at least 5 days before each event, retrieves petty cash from the bank, and maintains the Square payment device. When unable to cashier personally, the Cashier Lead ensures substitute cashiers are fully trained on proper procedures—including verifying petty cash amounts before and after events, processing Square transactions with convenience fees, counting funds, completing deposit forms, and ensuring checks are made out to Stillwater PTSA. This position attends committee meetings with the Treasurer.
Volunteer Lead
The Volunteer Lead is responsible for tracking and coordinating all volunteer needs across the PTSA. This role receives volunteer requirement lists from event and activity owners at least 6 weeks prior to each event, creates SignUpGenius pages, and ensures they are posted to social media and emailed to membership and included in the school’s eNewsletter at least 1 month before the event. The Volunteer Lead follows up on sign-ups and pushes for additional volunteers when needed, maintains a master list of all volunteers throughout the year to be invited to the end-of-year celebration, and plans the end-of-year Volunteer Appreciation party. This position attends all General Meetings and liaises with a board member for updates.
